How your request is handled
This form helps Dr. Daniel Koh assess your request for a letter of recommendation. All fields and document categories are required except lecturer testimonials and other supporting documents.
Your answers and documents
Your complete submission and attachments are emailed to daniel.koh@newcastle.edu.au. During submission, the application sends your CV, transcripts, testimonials and other supporting documents directly to OpenAI for a factual evidence brief. The original uploaded files are processed in memory and are not saved to the application's database, server disk or cloud file storage. Your passport photo is emailed to Dr. Koh but is not used for academic analysis.
The application keeps the evidence brief and your typed relationship, course, duration, academic history and narrative answers in its private database while the request awaits a decision. This lets Dr. Koh review the evidence and prepare a separate letter for each school. The brief and typed answers are cleared after a decision email is accepted. Request tracking details and school/relationship information remain in the register. Generated letter drafts and PDFs are not saved by the application.
Email is sent from admin@datachord.sg through Google Workspace. The sending Gmail account may retain Sent copies; it, the receiving mailboxes and the email service process and retain messages according to their own settings and policies. Emails and attachments can remain in the relevant mailboxes after the application clears its text answers.
OpenAI-assisted drafting
Dr. Koh may ask OpenAI to draft a recommendation letter using your typed answers, the document evidence brief, teaching relationship and selected school details, together with his own verified observations. He may also select assignments or peer reviews that he holds and upload them temporarily for either a recommendation or a rejection draft. Those reviewer-selected files are sent directly in the OpenAI request and are not saved by this application. The original files from your form are not kept for later drafting; the brief carries relevant document facts forward. A rejection draft may use your typed answers, the document brief, Dr. Koh's observations and any assignments or peer reviews he selects.
OpenAI does not decide whether to approve or reject you. Dr. Koh reviews and may edit every draft before sending a decision or placing his signature on a letter. The application requests that OpenAI not store the response as application state. OpenAI may still retain content in abuse-monitoring logs under its API data policies. API data is not used to train OpenAI models by default. Do not include sensitive information in free-text answers that is unnecessary for your request.
While completing the form
Your draft is held in the open browser tab; the site does not save drafts in browser storage. Keep a separate copy of your writing, as refreshing or closing the tab can lose it. Essential session cookies protect the form and reviewer sign-in. If enabled, a bot verification service processes technical information to protect the form.
Writing, preferences and transcripts
Each of the eight narrative answers requires at least 500 words in English. Automated language checking is approximate and can sometimes reject legitimate writing. Original names and uploaded academic records may use other languages. Contact Dr. Daniel Koh if a valid answer cannot pass the check.
The original personality preference matrix is not the official MBTI assessment, a validated psychometric instrument or a diagnosis. It does not make approval or rejection decisions.
The UON transcript must be dated within the past three calendar months. The form checks the issue date you enter; Dr. Koh verifies it against the document. Academic records from other countries and institutions are welcome and their grading systems are not converted or ranked by the site.
Access and questions
The reviewer portal is restricted to Dr. Koh's verified Google Workspace account. To ask for a correction, removal of retained application data, or more information, contact daniel.koh@datachord.sg. Changes in the application do not automatically remove emails held in mailboxes.
